“Add our logo” leaves several decisions unresolved. A useful artwork handoff identifies the exact file, the proposed location and the version to be reviewed. This guide focuses on the information exchange; it does not assume that every decoration method is available on every product.
Send One Clearly Named Working Version
Name the file with your company, product reference and revision. Identify which file replaces earlier versions. Where you supply several formats, state that they represent the same design and ask the supplier to confirm which format is suitable for the proposed process.
Show Placement on the Selected Product
Mark the proposed location on a photograph of the exact frame, case or packaging component. Describe the orientation and desired dimensions. A logo shown on a different frame is a reference for discussion, not approval for the selected model.
Separate Artwork From Decoration Feasibility
Ask the supplier to review the proposed method, material, available area and reproduction limits. Fine details or small text may need adjustment. Any simplified artwork should return to you as a new revision, with the difference visible, before it is treated as approved.
List Every Branded Component
A gift set may have separate artwork for the frame, case and presentation card. Record each component independently, including items that must remain unbranded. This prevents a general instruction from being applied to every part of the set.
Approve the Proof and Sample Scope
Confirm what the proof shows and what still requires a physical sample. Keep the approved file, placement drawing and sample record together. If artwork changes after approval, identify the affected components and ask whether cost or timing must be revised.
