For a brand developing one lead sunglasses style for online retail, the purchasing brief should cover the complete sellable set. This proposed US-market project combines a selected adult frame, branded hard case and cleaning cloth, with coordinated retail packaging.
Project Scope: 3,000 Complete Sets
- 3,000 pairs of adult sunglasses based on SUN-043.
- 3,000 customized hard cases.
- 3,000 microfiber cleaning cloths.
- One pair, one case and one cloth per set, with individual retail color-box packaging.
The 3,000-set quantity is specific to this planning example; it is not a site-wide MOQ.
Turn the Reference Into a Brand Specification
SUN-043 shows a green-and-dark square frame with a mirrored lens appearance. It is a style reference, not a specification for every custom order. The brief proposes a frame color developed against the buyer’s Pantone reference and a metal logo plaque on the temple. Confirm material compatibility, attachment method and logo placement during sampling.
Review lens options separately. Polarized or gradient lenses may be discussed, but neither is assumed to be included in this example. The final lens configuration, performance and required documentation must be identified in the approved quotation.
Check the Case and Packaging Together
Confirm that the selected frame fits the case without excessive pressure, and that the cleaning cloth and printed inserts are accounted for. Review the case branding, color-box artwork and closing method on the assembled sample. Record the component quantities and packing sequence so the factory and buyer are working from the same definition of one finished set.
Make the Quote Comparable
List the frame, lens configuration, logo treatment, case, cloth and retail box as an agreed scope. Identify tooling or artwork charges separately. Confirm delivery terms and destination before comparing prices; an EXW offer and a CIF offer contain different cost items.
Approve the Sample Before Bulk Production
Allow approximately 15 days for sampling, with timing confirmed for the actual development scope. Check frame color, fit and dimensions, lens specification, logo size and position, and packaging artwork. Record revisions by component and approve the final specification in writing. Sample and tooling charges are credited against the corresponding production order when it is placed; confirm the amounts in the quotation.
Agree Payment, Inspection and Timing
This example uses T/T with a 30% deposit and the balance paid after production and before dispatch. The planning target is production completion within 60 days of receiving the deposit, subject to the agreed schedule. International transport and customs clearance are separate. Changes to artwork, components or approvals require the delivery schedule to be reconfirmed.
Agree the pre-shipment inspection method in advance: customer inspection, a third-party inspection, shipped samples or video review. Check quantities, approved product details, set contents and carton shipping marks before authorizing dispatch. FOB, EXW or CIF can be discussed in the quotation. Other payment arrangements, including L/C at sight, are subject to agreement.
